Your responsibilities:

Managing the calendar, diary and priorities of the Country Head
Organising internal and external meetings, client appointments and events
Coordinating travel arrangements including flights, hotels and registrations
Handling expense management and administrative processes
Communicating with clients, head office and international internal stakeholders
Welcoming and taking care of guests and business partners
Preparing agendas, taking minutes and following up on selected regular meetings
Maintaining confidential files, records and sensitive information
Supporting process improvements to make workflows more efficient
Cooperating closely with facility management, communications and international teams
Supporting marketing, advertising and homepage-related inputs where required

Your profile:

Completed education, ideally at graduate level, or a relevant ongoing degree
Ideally experience in a comparable assistant, executive assistant or office management role
Excellent German and English skills, both written and spoken, at C1/C2 level
French language skills are a strong advantage
Very good MS Office skills
Strong organisational skills and the ability to manage priorities independently
High level of discretion, reliability and professionalism
Excellent communication skills and a service-oriented mindset
Proactive, adaptable and solution-oriented personality
